Community Rules & Etiquette and Privacy Guidelines

Thank you for being part of our community. To ensure the best possible experience for all members, we have established some basic guidelines for participation.

By joining and using this community, you agree that you have read and will follow these rules and guidelines. You also agree to reserve discussions and shared files and content to that best suited to the medium. This is a great medium with which to solicit the advice of your peers, benefit from their experience, and participate in an ongoing conversation. Questions should be directed to our member services department via the Contact Us link on this site.

Please take a moment to acquaint yourself with these important guidelines. If you have questions, contact the member services department. In order to preserve an environment that encourages both civil and fruitful dialogue, we reserve the right to suspend or terminate membership in this community for anyone who violate these rules.

The Rules

  • Respect others. Focus on the content of posts and not on the people making them. Please extend the benefit of the doubt to newer guests and members; there’s no such thing as a stupid question.

  • Respect the purpose of the community. Use the community to share successes, challenges, constructive feedback, questions, and goals instead of products or services that you provide. If you’ve found a product or service helpful, please share your experience with the group in a respectful way.

  • Use caution when discussing products. Information posted on the discussion groups and in the libraries is available for all to see, and comments are subject to libel, slander, and antitrust laws.

  • All defamatory, abusive, profane, threatening, offensive, or illegal materials are strictly prohibited. Do not post anything that you would not want the world to see or that you would not want anyone to know came from you.

  • Respect intellectual property. Post content that you have personally created or have permission to use and have properly attributed to the content creator.

  • When posting items in our collaborative environment, please indicate if the item is not available for reuse. It’s also advisable to contact the owner of any material if you would like to reuse it.

  • Post your message or documents only to the most appropriate communities. This helps ensure all messages receive the best response by eliminating "noise."


Discussion Group Etiquette

  • State concisely and clearly the topic of your comments in the subject line. This allows members to respond more appropriately to your posting and makes it easier for members to search the archives by subject.

  • Send messages such as "thanks for the information" or "me, too" to individuals, not to the entire list. Do this by using the "Reply to Sender" link in every message.

  • Do not send administrative messages, such as “remove me from the list,” to the group. Instead, use the web interface to change your settings or to remove yourself from a list. If you are changing email addresses, you do not need to remove yourself from the list and rejoin under your new email address. Simply change your settings.

This site is provided as a service for the members of IATA.  IATA is not responsible for the opinions and information posted on this site by others. We disclaim all warranties with regard to information posted on this site, whether posted by IATA or any third party; this disclaimer includes all implied warranties of merchantability and fitness. In no event shall IATA be liable for any special, indirect, or consequential damages or any damages whatsoever resulting from loss of use, data, or profits, arising out of or in connection with the use or performance of any information posted on this site.

Do not post any defamatory, abusive, profane, threatening, offensive, or illegal materials.  Do not post any information or other material protected by copyright without the permission of the copyright owner. By posting material, the posting party warrants and represents that he or she owns the copyright with respect to such material or has received permission from the copyright owner. In addition, the posting party grants IATA and users of this site the nonexclusive right and license to display, copy, publish, distribute, transmit, print, and use such information or other material.

Messages should not be posted if they encourage or facilitate members to arrive at any agreement that either expressly or impliedly leads to price fixing, a boycott of another's business, or other conduct intended to illegally restrict free trade. Messages that encourage or facilitate an agreement about the following subjects are inappropriate: prices, discounts, or terms or conditions of sale; salaries; profits, profit margins, or cost data; market shares, sales territories, or markets; allocation of customers or territories; or selection, rejection, or termination of customers or suppliers.

IATA does not actively monitor the site for inappropriate postings and does not on its own undertake editorial control of postings. However, in the event that any inappropriate posting is brought to the attention of IATA we will take all appropriate action.

IATA reserves the right to terminate access to any user who does not abide by these guidelines.


Privacy Policy

As a data controller, the International Air Transport Association (“IATA” or "we"), an association incorporated by a Special Act of the Parliament of Canada with registered headquarters at 800 Square Victoria, PO Box 113, Montreal, H4Z 1M1, Quebec, Canada, is fully committed to protecting the privacy rights of individuals who provide us with personal data about themselves and to ensuring compliance with applicable data protection and privacy laws notably the Canada Personal Information Protection and Electronic Documents Act (“PIPEDA”), the Quebec Act Respecting the Protection of Personal Information in the private sector, the Swiss Federal Act of Data Protection (“FADP”), the China Personal Information Protection Law (“PIPL”) and the Regulation (EU) 2016/679 of the European Parliament and of the Council of 27 April 2016 on the protection of natural persons with regard to the processing of personal data and on the free movement of such data, and repealing Directive 95/46/EC (“EU General Data Protection Regulation” or “EU GDPR”).

Your privacy is important to us and we take necessary measures to ensure that your personal data, (i.e. any information relating to an identified or identifiable natural person) collected, processed and used in connection with your participation in the IATA Traffic Conferences shall be protected from unauthorized access, misuse, loss and destruction.

We have created this Privacy Notice to explain how and why specific categories of personal data are collected from members of the Passenger Standards Conference (“PSC”) Boards, Working Groups, Advisory Forums and Task Forces and any other working structures under the PSC (“PSC Group Members”). This Privacy Notice also provides an overview of the appropriate protection measures taken to safeguard your personal data.

What is the purpose and scope of this Privacy Notice

This Privacy Notice applies to all personal data collected, processed and used by IATA when you join as a PSC Group Member to participate in any board, working group, advisory forum or task force under the Passenger Standards Conference and until your personal data are being deleted or anonymized by IATA.  It does not apply to other appointment or any other activity you might have with IATA or any of its affiliates. In such cases, other privacy notices might apply.  

The content of this Privacy Notice may also be subject to any additional conditions or disclaimers or other contractual terms that you have entered into with IATA as an IATA member’s representative or individual customer as well as any applicable and binding laws and regulations. 

What information do we collect from you and for what purposes? 

When you join as a PSC Group Member, you will be asked to submit your personal data such as name, job title, employer, affiliation and corporate email address.  

IATA shall only collect, process and use your personal data as reasonably necessary for the purpose of:

  • addressing your enquiries;
  • publication of PSC structure, membership and roles;
  • PSC activities and PSC reporting, such as progress reports, meeting reports including meeting minutes, meeting agendas and other meeting logs, PSC records and documentation and voting results, records and documentation;
  • complying with any legal, governmental or regulatory requirements of any relevant jurisdiction.

On what legal basis do we process the data, and for how long do we store your personal data? 

Your personal data is processed in accordance with the above-mentioned purposes for the completion of activities under the Passenger Standards Conference and to pursue our trade association legitimate interests. We shall rely on your consent where mandatory. We may also process your personal data based on our obligation to comply with applicable legal or regulatory requirements.

We store your personal data for as long as we need it to achieve the above purposes. To the extent permissible by applicable laws and regulations, as soon as we no longer need your personal data for such purposes, we shall delete the personal data from our systems. 

Who do we share your personal data with? 

For the purposes set out above, IATA may share your personal data with IATA affiliates, IATA representatives and IATA third parties service providers, within and outside of your country of residence only on a need-to-know basis.

Our affiliates (list available on request), representatives and third parties who have access to the personal data collected, processed and used are obliged to observe data protection regulations. 

We may also share your personal data with government agencies and institutions, regulators, etc. in accordance with the applicable laws, regulations, a court order or an official request, or in accordance with and for the purposes of official (regulatory) policies or similar procedures as required or permitted by applicable law. 

Personal data may be transferred to IATA affiliates located in countries outside your country of residence, whose laws may offer a lower level of data protection. IATA shall then implement appropriate data protection measures as to ensure an appropriate and adequate level of protection, as set forth in applicable data protection and privacy laws and regulations.

How do we handle electronic messages sent to and from IATA?

All electronic messages sent to and from IATA are protected by appropriate technical and organisational measures within our systems, and may only be accessed by individuals not directly involved in the communication in specific, justified cases according to the applicable laws and regulations (e.g. a court ruling, suspected criminal behaviour, breach of supervisory obligations); they are only accessed by certain individuals in defined functions (e.g. legal, compliance, risk). Each part of the procedure and the search criteria used are logged.

How do we handle personal data processed during meetings?

The PSC meetings are recorded to facilitate standards setting activities and in adherence with IATA policies.

How can you exercise your rights as a user?

Where permitted by law, you have the right to:

  • Request information about your personal data, including information such as the source and categories of data, reasons for processing, recipients (or categories of recipients) and the retention period; 
  • Request to update or correct your personal data if such data is inaccurate;
  • Request that your personal data be deleted from our systems, once it is no longer required for the above-mentioned purposes. 

You may have other data subject rights subject to applicable data protection and privacy laws and regulations.
